Job Overview:

The Lebanon School District is seeking an Administrative Assistant to the Director of Facilities to effectively manage the facilities management office and provide administrative and executive secretarial support to the Director of Facilities.

 

Job Responsibilities:

–          Under the direction of the Director of Facilities, the Administrative Assistant will perform a variety of duties necessary in operating the Lebanon School District’s Facilities Department.

–          The ideal candidate will work with the Director of Facilities to expand the scope of this position into a role with managerial responsibilities to better support a growing department.

–          Maintains a comprehensive filing system in compliance with various Federal, State and District guidelines.

–          Position requires well developed verbal skills to present and exchange information which may be technical, complex or sensitive. Interpersonal contacts extend to school staff outside of the SAU office and the greater community of Lebanon.

–          Schedules all after school hours building usage in accordance with District policy and guidelines.

–          Orders, purchases and maintains inventories of custodial and maintenance supplies.

–          Prepares and distributes correspondence for the Director of Facilities.

–          Track all leaves of absence for custodial and maintenance staff.

–          Processes all Facilities purchase orders.

–          Processes all Facilities invoices to Accounts Payable in a timely manner.

–          Oversee and coordinate all work order requests as directed by the Director of Facilities.

–          In collaboration with the Director of Facilities, prepare reports for the state regarding safety, fire, and other inspections, safety plan updates, representative to and secretary for the district joint loss management committee.

–          Assists the Director of Facilities in preparation of buildings and grounds budget.

–          Monitors spending in regard to the budget and works with the Director of Facilities in addressing needs.

Physical Demands:

While performing the duties of this job, the employee is regularly required to sit. The employee frequently is required to use hands to finger, handle, or feel objects, tools, or controls and talk or hear. The employee is occasionally required to stand, walk, and reach with hands and arms. The employee must occasionally lift and/or move items weighing up to 25 pounds. Specific vision ability required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.
